The Brief

The current process of sending printed communications was managed in house. It consisted of staff sending documents to the printer, hand enclosing envelopes and using the franking machine before sorting letters for collection.

This process became no longer viable and therefore YU Energy needed to source a solution that worked alongside internal 

software’s whilst supporting their long-term business objectives and accessibility responsibilities.

The Solution

In 2022, YU Energy were introduced to CFH through LinkedIn. The company specialise in supporting organisations in the successful delivery of communications that make a difference.

During the scoping phase of the partnership, two products from CFH’s impressive portfolio were identified to support the mailing requirements – CFH Docmail for every day ad-hoc communications and CFH Managed for large bulk or pre-templated mailings.

CFH Managed is a secure IT print process that allows organisations to send documents through to CFH via a SFTP connection. The process streamlines the sending of bulk communications, with the support of a dedicated account manager.

Docmail is the UK leading hybrid mail software, which allows organisations to manage and send printed communications through an online print software. The solution is easy to use, with no minimum or maximum quantities required and provides on-demand reporting functionality.

The Process

CFH Managed consisted of sending pre-templated communications that were created by YU Energy in their internal CRM system. These documents were downloaded and dropped onto the SFTP network for printing along with the mailing data base. CFH’s IT print process then manipulates the data and produces the output in a secure environment.

The process is effortless, quick and is compatible with internal procedures of YU Energy.  

Physical proofs are provided for large bulk mailings, with a dedicated account manager on hand to ensure communications are sent without errors and to answer any questions.

Whilst Docmail was rolled out to support the sending of everyday communication requirements on a self-serve basis. With an online web portal and virtual print driver acting as their very own desktop printer, the process is easy to manage and enables printed communications to be sent in the fraction of time compared to previous in-house methods.

The solution provides a range of envelope choices and allows personlisation to occur throughout the document, with the use of merge fields. YU Energy simply upload the document and the data base, and Docmail does the rest.

Both solutions are supported by CFH’s security accreditations and an account manager who goes above and beyond to ensure YU Energy are getting the most out of the solutions as well as the communications they send.

The results

By partnering with CFH, YU Energy have transformed the process of engaging with their clients with printed communications. It allows them to enhance customer care, by offering accessible communication channels to clients whilst acting upon their consumer duty requirements. In addition it enables them to send legislative documents through a secure process, that ensures delivery on-time, to the right person, to make the impact needed.

YU Energy have reported significant cost savings by utilising CFH solutions, when comparing to traditional processes. With increasing costs for postal communications, partnering with a supplier who are able to consolidate the cost and pass on postage savings, has been vital to the organisation.

Together the two solutions offer YU Energy communication confidence, security and a right first time approach to driving paper based engagement. The solutions offer impressive time savings, communication accessibility and helps build trust with clients.

Through professional and clear lines of communications YU Energy are able to confidently engage with their clients as well as ensure all communications that are sent are accurate, relevant and make an impact.

To date YU Energy have sent out over 36,000 hybrid mail letters and over 20,000 letters through CFH managed.
