The brief

Letters form an important part of the wider legal process for Pannone. When a case reaches the end of a debt collection agency’s cycle, it is passed to Pannone’s debt recovery team, who prepare and send a legal letter before action. As these letters formally notify individuals or companies that legal proceedings may be issued, accuracy, timing and professionalism are essential.

Traditionally, this type of correspondence would often be handled manually by staff at Pannone Corporate, with letters printed, folded, placed into envelopes and posted by internal teams. While this approach may be manageable at lower capacity, it becomes far less practical when hundreds or thousands of letters need to be sent on a regular basis.

With significant volumes to manage, and each letter containing personalised and specific information, the team needed a process that could support batch mailing without placing unnecessary administrative pressure on internal staff. In a sector where trust, security, quality and tangible outputs remain important, any proposed solution also needed to provide reassurance that sensitive legal correspondence was being handled correctly.

Having previously used Docmail at another legal firm and seen the benefits of the hybrid mail platform first-hand, Pannone Corporate’s incoming Head of Debt Recovery was already familiar with the value it could bring to high-volume correspondence.

That experience meant Docmail was already viewed as a trusted solution from day one, rather than a new or untested platform. The Solution

Docmail, CFH’s flagship hybrid mail solution, provides a secure and reliable online method for producing, managing and sending personalised documents directly to recipients, without the need for manual print and post processes. In simple terms, it gives organisations access to trusted print and mail capabilities from their own desk, while retaining control over the documents being sent.

Since its launch in 2008, more than 200 million documents have been sent via Docmail, with the platform now producing and sending well over 21 million letters each year. Used by organisations across a wide range of sectors, Docmail has supported over 10,000 users, with hundreds of new accounts continuing to onboard annually.

In legal and regulated debt recovery environments, clear and transparent correspondence is essential. Recipients need to understand the information being provided, the action required and the options available to them.

Providing choice around communication formats via Docmail also helps ensure important information can be accessed, understood and acted on appropriately.

Pannone Corporate use Docmail through the dedicated website, uploading approved letter templates and data lists to send correspondence in a regulated and streamlined manner. The setup was considered straightforward, with the committed Docmail team supporting the creation of templates and relevant upload spreadsheets.

This helped ensure a smooth transition and gave Pannone Corporate a familiar, practical process that could fit around the firm’s existing debt recovery workflow.

The Process

Using Docmail, the process is simple. An approved letter template and data spreadsheet are uploaded by Pannone through the website, with CFH handling the printing, posting and delivery. This allows client correspondence to be produced and sent without requiring internal teams to divert their attention away from more pressing and expertise-led tasks.

For Pannone Corporate, using the platform has become “second nature”. The upload process is straightforward, with the data spreadsheet added into Docmail and the letters prepared for dispatch from there.

Through Docmail, the team has peace of mind that important correspondence is managed through a secure, established process. CFH’s approach is supported by recognised accreditations, including ISO 27001:2022 Information Security Management, Cyber Essentials and Cyber Essentials Plus.

This has provided added reassurance for Pannone Corporate, particularly given the sensitive nature of legal correspondence and the importance of ensuring letters are sent correctly.

Another element that helps set CFH apart from other hybrid mail providers is the attentive, relationship-led support that sits alongside the platform.
