The Brief

The supplier needed to provide quality output to represent the council in a professional way, whilst being relationship driven, secure and have a range of solutions that met their communication requirements.

The contract was awarded to CFH due to their competitive pricing, DSA postage offering, experience in the sector and the presentation conducted by CFH's expert teams. Bournemouth Borough Council merged with Christchurch Council and Borough of Poole Council to form BCP Council and adopted the contract.

The solution

Two industry leading solutions were identified to meet the councils’ requirements. These solutions were secure, easy to use and worked seamlessly with internal systems. CFH Managed was to be used for bulk annual and daily billing mailings and Docmail hybrid mail for every-day department communications.

CFH Managed offers unlimited access to CFHs extensive communication processes, from transactional mail to the management of inbound communications. The solution allows organisations to send thousands of personalised documents in a secure, streamlined way whilst being supported by industry leading technologies. The print process offers complete control and an error-free way of engaging with audiences.

Docmail hybrid mail is a self-serve solution for ad-hoc individual and small bulk communications. The online system is secure and streamlines the sending of personalised print and mail straight from a desktop. It saves valuable time and money and acts as your very own online print and mail factory.

The process

CFH Managed uses a secure SFTP connection that allows the council to send their output file and data list to CFH, which is then processed through their impressive IT print software. The process is hassle free and removes any worries for sending large bulk communications. Digital and physical proofs are supplied within an agreed SLA time frame and documents are dispatched once approved. This process allows for multiple communications to be consolidated into one envelope for example a Benefits letter and a Council Tax bill, for even further savings and streamlined processes.

Docmail hybrid mail works alongside this solution, supporting BCP Council’s everyday communication requirement including Business Rates. The account is set up through a corporate structure for template control and provides impressive time and cost savings to the council. The solution has become vital for the department through its easy-to-use system.

These solutions are supported by their dedicated Account Manager who ensures both processes run per the councils’ requirements and is on hand to resolve any queries or question. Ensuring all council communications are sent on time, at the best quality to engage with the end resident.

The results

Through collaborative working and regular reviews, the communication process with BCP Council has been perfected to send and manage all resident communications for the department.

To date the council have sent out over 3 million printed documents through CFH to drive resident engagement and make meaningful connections.
